Computer Usage Policies and Procedures
BTS strives to give prompt, courteous and effective service that meets our departments' needs.
To keep our computing environment safe, secure and operational, all departments under the BTS service umbrella must follow these policies and procedures:

Only BTS staff members are authorized to install computer hardware and software.
Downloading, copying or storage of any unauthorized data on any Administration, General Counsel or Finance computer
(this includes both network servers and local workstations) is strictly prohibited.
Such data includes but is not limited to:
- Music files such as MP3s, WMAs, WAVs or CD audio (This applies to both illegally downloaded files and legitimately purchased music)
- Video files
- Any other copyrighted material for which the department does not hold a license.
- Any materials depicting nudity or that are otherwise sexually explicit, unless authorized.
Software standards
BTS will will remove all software for which your department does not hold a valid, current license.
BTS supports the following software:
- Operating System: Windows 2000 or higher
- Office Suite: Microsoft Office 2000 or higher
- Queens or Exceed (Hummingbird)
- SecuRemote VPN client
- Secure Shell Telnet
- Antivirus: Latest ASU-licensed McAfee product
- Any other ASU-specific applications
Unauthorized programs will be removed immediately and your supervisor will be notified.
Such software includes but is not limited to:
- Music-sharing applications such as BitTorrent and Kazaa
- Google, Yahoo or EBay toolbars
- Any third-party screen savers
- Almost any software downloaded from the Internet unless it is specifically required to perform your job duties and is approved by your supervisor
- BTS will establish a standard password for all administrator accounts.
- Only BTS can move computers and related equipment (this policy includes sending such items to salvage).
Procedures
All work-related data should be stored in a network location because all data on BTS servers is backed up and secure.
NOTE: Any information kept on local machines is not backed up and is not secure, which means you could permanently lose valuable data if your local machine fails.

BTS sets the computer purchasing standards for Administration and Finance.
These standards apply to the following types of equipment:
- Computers
- Printers
- PDAs (Palms/Pocket PCs/Blackberries)
- Monitors
- Any other computer peripheral
When a new employee is hired, the New User Setup procedure must be followed to gain access to computer resources for that employee.
When an employee leaves the department, contact BTS immediately to begin termination of that employee’s computer access.
In addition to the above policies and procedures, all employees—both staff and student workers—are bound to the proper and ethical usage of university property, as outlined in SPP 801: Staff Conduct and Work Rules and must adhere to the campus computer usage policy, ACD 125: Computer, Internet and Electronic Communications.
The State of Arizona Revised Statute concerning Internet pornography (A.R.S 38-448) also applies.
